- If no original title exists, a supplied titles should be given and indicated in brackets. Only include a supplied title in English; do not attempt to create a vernacular supplied title with Google translate.
- Do not enter titles in all caps; use titlecase capitalization. You can use a titlecase converter for this, but keep in mind that there may still be adjustment needed.

- Estimated dates should be enclosed in brackets.

- If the date is B.C.E. (before common time), for example: 400 B.C.E., enter it as 0400. Adding zeros in front of the year that is only three digits will place it in the correct chronological order.
- If the date is several thousand years ago, for example 20,000, enter it as 0020, again so that it can be sorted correctly.
- This field will not be visible in the public item metadata, but will be used to sort by date so things can appear chronologically.

- Subject headings used by the host institution should be used to inform the choice of subject headings on the gallery item.
- Add only one subject heading per input, so they appear on separate lines.
- Add both the corresponding Ukrainian and English subject headings, each as a separate input.
- Subjects should describe the intellectual content of an object and represent the format of the original item. In the case of a painting of a cemetery, this would mean that “Painting,” "Живопис," "Cemeteries," "Цвинтарі" should be entered as subjects.
- If you need a subject heading that is not in the vocabulary list, enter it under the suggestions tab of the spreadsheet.

- Digital objects provided by contributing institutions may not have a source URL, so this field is not required. Objects that do not have a source URL should indicate in the Description field that they are not available elsewhere online.
- The URL should be taken from the page on which the object was found, not a jpeg link. Indicate this link as “Original source:” followed by the hyperlink.
- If there is a SUCHO-archived copy of the object, include that link in another entry. Indicate this link as “Archived copy:” followed by the hyperlink.This link can be found in the IA, Browsertrix, and Done tabs of the main spreadsheet.
- If there is a local identifier used by the host institution included on the webpage of the object, include it here with a description reflecting how the host institution conceptualizes the use of that identifier, e.g. “Exhibit registration number:” ; “Object identifier:” ; etc.
